Overview:
Western Michigan University Homer Stryker M.D. School of Medicine is seeking a Manager, GME Program Support. Responsible for providing organizational leadership and support to the residency program coordinators/administrators for the WMed residency and fellowship programs.
Supervises administrative/clerical assistants. Works closely with the Associate Dean of Graduate Medical Education/DIO and the Director, Resident Affairs. Assists with program oversight to ensure all programs meet the RRC, department, and institutional requirements.
Responsibilities:
• Responsible for the supervision and professional development of all residency program coordinators/administrators and administrative/clerical assistants who are direct reports
• Manages centralized support services while optimizing efficiency and ensuring smooth administrative operations across programs
• Oversees resident payroll information in Work Force Ready (WFR) such as new hires, change of status, leave of absence, terminations, etc.
• Maintains a calendar of all residency related due dates and ensures compliance of on-time completion
• Coordinates system standardization including processes and sharing of documents between programs
• Recommends and implements changes to improve quality, effectiveness, and/or productivity of the programs
• Acts as the primary liaison between residency program coordinators/administrators and the Office of Resident Affairs
• Attends Graduate Medical Education Committee meetings
• Ensures residency program coordinators/administrators are informed of changes in accreditation requirements and policies/procedures
• Chairs the monthly residency program coordinator/administrator's committee meeting
• Assists in reviewing the institutional WebADS for accuracy and completeness prior to submission
• Provides quarterly training opportunities and ongoing workshops for residency program coordinators/administrators (New Innovations, ERAS, CLER, PIF preparation, WFR, etc.)
• Works with the program directors and the director of Resident Affairs to ensure that all programs meet the RRC, department and institutional requirements
• Fills in for a residency program coordinator/administrator vacancy or PTO
• Responsible for training of new residency program coordinators/administrators
• Develops the annual residency program coordinator/administrator work plan and anticipates project planning for the academic year
• Develops and implements methods and procedures for accomplishment of short and long-term program initiatives and goals
• Evaluates the degree to which program objectives are achieved and provides feedback to the program directors
• Works with department leadership to develop and implement new systems, administrative policies and educational programs
• Assists in goal setting and developing strategies for the future direction of the programs
• Availability to work occasional overtime on weekends or evenings to complete time sensitive projects
• Acquires knowledge for new technology and policy/procedure revisions
