This is a lead position as Program Manager (GME Program Coordinator) in General Surgery
Primary Responsibilities:
Program Administration
? Manage Grand Rounds, Resident Teaching Conference, Morbidity & Mortality Improvement conference
? Manage all personnel action forms,
ePAC, transcription bills, eDOG, Business Objects, meal money, pager maintenance, securID tokens, pagers, lockers, locks, credit card use
? Coordinate mock orals boards, ABSITE, non-renewal letters, house staff advancement, house staff position request forms
? Coordinate moonlighting privileges for residents - moonlighting mentor agreement & resident agreement and pay forms
? Visas/work permits; ensure compliance of foreign medical graduates
? Surg Ed policy writing
? Monitoring and approving time cards/exempt time off in Kronos; entering time off for Residents
? Manage & coordinate correspondence of resident verifications
Manage Program Activities
? Coordinate Application Process - Assist in recruitment plan and guidelines
? Plan, coordinate, manage, execute Surg Ed Orientation; assist GME with VU orientation;
? Supervise, manage and contribute to eval and job title information on Department Education Assistant & establish goals
? Manage/coordinate travel/reimbursement
? Planning social events
? Licensure paperwork/letters of recommendation
? Notary public privilege current
Marketing and communication planning and development
? Manage/Update of VU GS website
? Revise/update house staff manual
? Ordering of apparel for residents; monitoring of extracurricular team activities
? Assist in updating information used for Program Presentation during interviews
? Presenting annually at national meetings; attendance at Professional Development series
? Mentor new coordinators at VU and nationally
Reporting and documentation for Accreditation and Compliance with Program regulations
? Communication with external agencies/accrediting bodies
? Manage PLAs & Master Affiliation agreements
? Set up & track resident and attending evaluations
Manage budgets for Program
? Reconcile expenditures on a monthly basis; track 1180s, check requests, travel & non-travel reimbursement
? Monitor/Manage multiple center numbers, within budget amount for all center numbers - Jacobs Fund & Resident Gift Fund, VIS & Surg Ed
? Reconcile credit card statement on a daily basis
? Responsible for reimbursing residents for memberships, book purchases, etc., deposits, and tracking
? Maintain on-going record of program expenses and distributed detailed report.... More >><< Less
